Enjoy your break without worrying about your bookkeeping.
You’ve worked hard all year, so when summer arrives, you deserve to switch off and enjoy a well-earned holiday.
But for many small business owners, taking time away isn’t always easy. Questions like “Has that customer paid?”, “Have my suppliers been paid?” or “Will I miss an important deadline?” can quickly spoil your time away.
The good news is that with a little preparation—and the right systems in place—you really can relax knowing your business finances are still ticking along nicely.
1. Make Sure Your Bank Feeds Are Working
If you use Xero, check that your bank feeds are connected and importing transactions correctly before you leave.
This means your accounting records continue updating automatically, giving you an up-to-date picture of your business, wherever you are.
A quick five-minute check before you head off can save a lot of headaches later.
2. Send Any Outstanding Invoices
Nobody wants to come home to a pile of unpaid invoices.
Take a little time before your holiday to:
- Send any outstanding invoices.
- Chase overdue payments.
- Set up automatic invoice reminders in Xero.
Keeping your cash flowing while you’re away means there’s one less thing to worry about.
3. Schedule Regular Payments
If you know bills, wages or supplier payments are due while you’re away, plan ahead.
Where appropriate, schedule payments through your online banking so everything continues running smoothly without you needing to log in from a sun lounger.
4. Give Someone Limited Access if Needed
If someone is covering for you while you’re away, make sure they have the right level of access.
Xero allows you to give different users different permissions, so they can carry out the tasks they need without giving them access to everything.
That keeps your business moving while maintaining security.
5. Capture Receipts as You Go
If you’re mixing business with your travels, don’t let receipts disappear into your suitcase.
Using tools like Hubdoc or the Xero app means you can simply snap a photo and upload receipts as you go.
Future-you will be very grateful when you get home.
6. Check Your Dashboard—Then Switch Off
One of the biggest benefits of cloud accounting is being able to see what’s happening in your business wherever you are.
Before you leave, take one final look at your Xero dashboard.
Once you’re happy everything looks healthy, give yourself permission to switch off.
After all, your holiday should be about relaxing—not constantly checking your bookkeeping.
A Little Preparation Goes a Long Way
Taking a holiday shouldn’t mean worrying about your business every day.
With a few simple checks before you leave, you can enjoy your break knowing your accounting records are organised and up to date.
